Every city was scored on five factors we see decide real offsites. We call it the ACCESS test:

  • Arrival: how many attendees can get there on one flight, and how far the hotel is from the airport.

  • Conference space: hotels with real meeting rooms, natural light and breakout space.
  • Experiences: activities that give the trip a story without eating the agenda.
  • Season and Simplicity: how many months work well, and how much can go wrong (visas, weather, transfers).

Why Nashville tops the US list

It wins on three of five ACCESS factors at once: a central airport within a short flight of much of the country, the lowest US starting price on our list and a downtown where the hotel, meeting space and evening plans are all walkable. Live music gives the trip its story with almost no planning effort.

When to pick Austin or Miami instead

Austin suits tech teams that want meetings in jeans, barbecue and live music. Miami suits teams that are celebrating: one 65-person software company we planned for stayed at a Kimpton in Miami Beach, worked in a private meeting room by day and finished with a yacht dinner cruise.

The quiet options for leaders

Why Lisbon is our top international pick

It passes the ACCESS test almost everywhere: short flights from the East Coast, a starting price close to a domestic city, modern hotels with meeting rooms and a food scene that makes every evening easy. For a company with engineers in Europe and leaders in the US, neither side spends a full day in the air.

Mexico: three very different offsites

Mexico City is the urban, food-led option on roughly US time zones. Riviera Maya is the all-hands resort with cenotes and the lowest starting price we list. Los Cabos is the resort escape for West Coast teams, with short flights and all-inclusive simplicity.

Europe beyond Lisbon

Barcelona is where we've run some of our favorite startup offsites. One event manager told us afterwards that everything was seamless. Prague offers storybook scenery at a strong price, while Crete and Rhodes turn a working trip into something closer to a holiday.

Best offsite locations by group size

  • Under 15 people: boutique-friendly places where a small group can take over a restaurant or a hotel floor. Santa Barbara, Crete, Rhodes, Lisbon and Buenos Aires all shine here.
  • 15 to 40 people: almost every city on the list works. Choose by goal and travel time.
  • 40 to 100 people: favor places with large hotels that have real meeting space and lots of nonstop flights: Nashville, Austin, Miami, Las Vegas, Riviera Maya, Los Cabos and Mexico City.
  • 100+ people: Las Vegas and the big Mexican resorts have the inventory. Book further ahead and expect transport between venues to become a real line item.

Drive-to offsite locations

Not every offsite needs a flight. A location within about three hours by car or train saves a travel day and lets people bring what they need. Bay Area teams can drive to Santa Cruz. Southern California teams can reach Santa Barbara or San Diego by road or rail. Northeast teams can take the train to Boston or New York. Drive-to trips also suit shorter formats, such as two nights instead of three.

Red flags when choosing an offsite location

  • Two connections for a large share of the team. People arrive tired and late, and day one is lost.
  • A hotel far from everything. Every dinner becomes a coach transfer.
  • Peak-event dates. Festivals, conferences and holidays can push prices up sharply and fill restaurants.
  • Weather risk on outdoor-heavy agendas. Always have an indoor backup.
  • Entry rules no one checked. Visa surprises at the last minute are avoidable.

How to choose between your top three

  1. Map your people. List every attendee's home airport. A location that's perfect for HQ but two connections for half the team isn't perfect.
  2. Price the total, not the hotel. Add flights to the per-person trip price. A cheaper hotel abroad can lose to a domestic city once airfare and an extra travel day are included. Our corporate retreat cost guide walks through it.
  3. Match the room to the agenda. Strategy needs quiet and breakouts; an all-hands needs a big room and good AV.
  4. Check the calendar. Conferences and festivals can double room rates.
  5. Decide on passports. If anyone on the team may struggle with visas, choose a domestic location or Puerto Rico.

Planning notes for international offsite locations

  • Passports and entry rules: check every attendee's nationality, not just the majority's. Some trips need visas or electronic travel authorizations.
  • Arrival day: overnight flights to Europe land in the morning, so plan a light first day and early dinner.
  • Time zones: Mexico City and Panama City stay close to US hours, which makes it easier to keep the business covered while you're away.
  • Money: Puerto Rico and Panama use US dollars. Elsewhere, decide early how on-site spending and reimbursements will work.
  • Phones and data: remind people to check roaming plans or arrange eSIMs before they fly.

Look for a space with natural light, a dedicated host, catering on site and a layout you can change between plenary and breakouts. For most teams we'd shortlist Nashville, Austin, Miami, San Diego and New York City. Nashville offers the best value and central access. Santa Barbara and San Diego suit leadership offsites, and Las Vegas handles very large groups easily.

What is the cheapest international offsite location?

On our list, Riviera Maya has the lowest starting price at $1,100 per person, followed by Los Cabos and Buenos Aires at $1,200. Flights are extra and depend on where your team flies from.
