Corporate event planning for offsites, retreats and kickoffs

Done-for-you team offsites with one itemized price per person and a planner on site. Free proposal in 48 hours.

"Corporate event planning" covers a lot of ground: product launches, galas, trade show booths, holiday parties, conferences and team trips. No planner is great at all of them. Offsiteio is a corporate event planner that specializes in one category: multi-day events where your people travel together. That means company offsites, team retreats, sales kickoffs, leadership off-sites and incentive trips. If that's what you're planning, you're in the right place. If you need a wedding, a gala or a booth at a trade show, a different kind of firm will serve you better, and we'll say so.

Why specialize in multi-day corporate events?

A one-night event is mostly about a venue and a run-of-show. A three-night offsite stacks a dozen moving parts on top of each other: hotel room blocks, meeting rooms that change layout between sessions, transfers timed to forty arrival flights, dinners in three different places, activities that depend on the weather and attendees with different dietary needs. The skills overlap with general event planning, but the failure points are different. Focusing on them is what lets us send an itemized proposal within 48 hours and keep a planner on site for the whole trip.

How our corporate event planning process works

  1. Brief. Headcount, dates, goals, budget range and where people are traveling from.
  2. Proposal within 48 hours. A destination and venue recommendation, a draft agenda and one per-person price with every line itemized. Free and yours to keep.
  3. Refinement. Swap hotels, change activities, add or remove nights. You see the per-person impact of each change.
  4. Contracting and booking. We negotiate and sign with the hotel, restaurants, activity vendors and transport companies.
  5. Attendee management. Rooming lists, dietary and accessibility needs, arrival manifests and an attendee guide.
  6. On-site execution. Our planner runs the schedule so your organizer can participate.

How to compare corporate event planning companies

If you're evaluating several firms, these questions separate them quickly:

  • What do you specialize in? A planner whose portfolio is mostly weddings and galas will approach a working offsite differently from one who runs offsites every month.
  • How is pricing shown? Look for an itemized breakdown, not a lump sum plus a management fee that appears later.
  • Who is on site? Ask whether a named planner travels with your group for the whole event.
  • How fast is the first proposal? Speed early on is a good signal of how responsive the team will be during the event.
  • Which destinations do you know well? Local relationships drive both price and problem-solving on the ground.

Our comparison of the best corporate retreat planning companies applies these questions to the main players. If you're weighing a local destination management company against a planner like us, see Offsiteio vs a DMC, or Offsiteio vs planning it yourself.

Pricing

We quote one upfront price per person, with planning and on-site coordination included rather than added as a separate fee. Our destination packages start from about $1,100 per person, and the full multi-day events we've planned have run between $1,450 and $2,402 per person. Flights are quoted separately. Our pricing page shows how a quote is built, and the corporate retreat cost guide covers what drives the number.

Where we plan corporate events

Our destinations span the US, Mexico, the Caribbean and Europe: from New York City, Nashville and Las Vegas to Puerto Rico, Barcelona and Prague. See the full list on our destinations page.

Who we work with

Our clients are usually growth-stage companies, and the person who reaches out is typically a Chief of Staff, an executive assistant, a Head of People or an operations lead. Teams from Coinbase, Ketch, Voltage Park, Grow Therapy and Moxie have planned offsites with us, and our Google rating is 5.0 from 17 reviews.

Corporate event planning FAQs

What does a corporate event planner do?

A corporate event planner sources venues, negotiates contracts, books meals, activities and transport, manages attendee details and runs the event on the day. Offsiteio does this for multi-day offsites, retreats and kickoffs.

Does Offsiteio plan one-day corporate events?

We focus on multi-day trips. A single evening or day event can be part of a larger program we plan, but we don't run standalone galas, parties or conferences.

How much does a corporate event planner cost?

Many firms charge a management fee on top of vendor costs. We include planning and on-site coordination in one itemized per-person price, with flights quoted separately.

How far ahead should we hire a corporate event planning company?

Three to six months ahead is comfortable for most multi-day events. Large groups and peak-season dates benefit from starting earlier.

Do you plan international corporate events?

Yes. Alongside US cities, we plan trips to Mexico, the Caribbean, Panama, Argentina, Europe and Dubai.
