How much does a corporate retreat cost per person?

Short answer: the multi-day team offsites we've planned and quoted have landed between $1,450 and $2,402 per person for a few nights away, covering hotel, meals, meeting space, activities and ground logistics. Flights are not in that number. We quote airfare separately because it depends on where each person flies from. Our published destination packages start lower, from $1,100 per person in Riviera Maya, and the highest "from" price we list is $1,900 in Hawaii.

Corporate retreat cost per person: the ranges we actually see
Most published "average retreat cost" figures online don't say where they came from. We'd rather show you our own numbers.
- Real trips and bids: $1,450 to $2,402 per person, flights excluded. That range covers 3–4 day offsites for groups of roughly 20 to 65 people in US and international cities.
- Destination starting prices on our site: $1,100 (Riviera Maya) to $1,900 (Hawaii) per person, flights excluded. A "from" price is the floor for that city's sample package. Peak dates, a higher hotel tier or extra nights will push it up.
- Flights: priced separately for every trip. A Chicago team flying to Nashville and a distributed team flying to Lisbon from five cities need very different airfare budgets, so we keep that line separate. That way the trip price stays comparable.

What drives the cost of a company retreat
Two retreats in the same city can differ by several hundred dollars a head. Usually that comes down to a handful of decisions, and most of them get made in the first two weeks of planning.
1. Dates and season
Hotels price on demand. A city-wide conference, a festival weekend or peak beach season can lift room rates sharply, while shoulder months often cost less for the same hotel. If your dates can move a week either way, tell your planner up front. That one bit of flexibility often saves more than anything else on this list.
2. Hotel tier and room setup
Lodging is usually the largest line. A 4-star downtown hotel and a 5-star resort can be two very different budgets. Private rooms for everyone also cost more than shared rooms. Most teams who ask us for a proposal choose a 4-star hotel with private rooms. It's a comfortable middle ground, and it rarely draws complaints.
3. Number of nights
Each extra night adds lodging plus a full day of meals. A 3-night format (arrive, two working days, depart) is the most common request we get because it fits a workweek.
4. Food and drink
Providing every meal costs more on paper, but it holds the group together and removes a pile of expense reports. Hosted bars and a celebratory final dinner are where food and beverage budgets tend to move the most.
5. Meeting space and AV
A hotel meeting room is often discounted, or even included, when you book a large enough room block. A separate coworking space or an off-property venue for a keynote adds rental and transport costs.
6. Activities
A food walking tour costs far less per person than a private yacht dinner cruise. Most retreats mix one marquee experience with a few lower-cost ones.
7. Group size and contract terms
Bigger groups unlock room-block rates but come with attrition clauses. You agree to pay for a share of rooms even if people drop out. Getting headcount right before you sign is one of the cheapest ways to protect your budget.
8. Domestic vs international
Lodging and meals in Mexico City, Buenos Aires or Lisbon can cost less than in New York or Santa Barbara. International trips usually mean longer flights, though, and you may need a travel day on each end. Compare the full picture, not just the hotel rate.

How group size changes the math
- 10–25 people: a boutique hotel can take the whole group, and private dining rooms are easy to find. The per-person cost is often a bit higher because fixed costs such as a guide or a meeting room are split fewer ways.
- 25–60 people: this is where room-block rates and meeting-space concessions start to matter. One Miami offsite we planned for a software company, for example, brought 65 people to a Kimpton hotel with all meals, a private meeting room, a yacht dinner cruise, axe throwing and around-the-clock on-site support.
- 60+ people: fewer hotels can house everyone under one roof. Lead time matters more here, and transport between venues becomes a real line item.
Five ways to lower the per-person price without making the trip worse
- Give a date window instead of fixed dates, and avoid big-event weeks in your chosen city.
- Pick a hotel with its own meeting space so you're not paying for transfers twice a day.
- Choose one marquee activity and keep the rest simple. People remember the yacht dinner, not the fourth outing.
- Confirm headcount before signing so you don't pay attrition on empty rooms.
- Look at value destinations. Nashville, Mexico City and Buenos Aires all have lower starting prices than coastal California.
