Executive retreat planning

Done-for-you team offsites with one itemized price per person and a planner on site. Free proposal in 48 hours.

An executive retreat is the most expensive meeting your company holds all year. You're paying for the hotel, and you're also paying for two or three days of your most senior people's attention. If the room is wrong, the Wi-Fi drops or the CEO spends the morning fixing a dinner booking, you lose that. We plan executive retreats so the only thing your leadership team has to do is think.

What makes an executive retreat different

A company retreat is about energy and connection across the whole team. An executive offsite is narrower and higher stakes. Usually 5 to 15 people (the CEO, the executive team, sometimes board members or a facilitator) need to make decisions that will shape the next year. That changes how you plan:

  • Privacy beats spectacle. A dedicated meeting room no one else walks through matters more than a ballroom.
  • Comfort is a working condition. Good beds, quiet rooms and real coffee directly affect the quality of the conversations.
  • Time is the scarcest resource. Short transfers and a destination within one flight of most attendees usually win over somewhere exotic.
  • The agenda leads. Venue choices follow the agenda, so a planning session with breakouts needs different space than a fireside conversation.

A sample 3-day executive offsite agenda

Day 1: Arrive and reset

  • Staggered afternoon arrivals with private transfers
  • An optional walk or workout before dinner
  • Private dinner with a light agenda: each leader shares one thing that has to change next year

Day 2: The hard conversations

  • Morning block on strategy and priorities, with phones away
  • Working lunch in the meeting room
  • Afternoon breakouts on the two or three biggest open questions, then a plenary to decide
  • A dinner that rewards the effort, with a chef's table or private room

Day 3: Commit and depart

  • Morning session to assign owners, metrics and next check-in dates
  • An optional short experience, such as a hike, a boat or a tasting, before afternoon flights

Facilitators are welcome. We'll set the room to their specification and build the timing around their run-of-show.

Where to hold an executive retreat

For a small, senior group, we look for places that are easy to reach, quiet once you arrive and good enough that people feel looked after. A few that work well:

  • Santa Barbara: a calm coastal setting for West Coast teams, from $1,800 per person.
  • San Diego: mild weather and an airport ten minutes from downtown, from $1,500 per person.
  • New York City: intense working days with investors and partners close by, from $1,500 per person.
  • Los Cabos: resort privacy within a short flight of much of the western US, from $1,200 per person.
  • Lisbon: a European change of scene with a short East Coast flight, from $1,500 per person.

All prices are destination starting prices with flights quoted separately. Executive groups often choose a higher hotel tier, and your proposal will reflect that line by line.

What we handle for your executive offsite

  • Shortlisting venues against your agenda, headcount and privacy needs
  • Negotiating and contracting the hotel, meeting room, restaurants and activities
  • Room setup, AV and supplies for facilitated sessions
  • Private transfers and dinner reservations that fit around overrunning sessions
  • An Offsiteio planner on site, so no executive becomes the de facto organizer
  • One upfront price per person, itemized, with flights quoted as a separate line

Who usually plans the executive retreat

In most growth-stage companies, it lands on the Chief of Staff or the CEO's executive assistant. Sometimes the Head of People or the COO owns it. Whoever it is also has to attend, take notes and make sure the outcomes stick. Our job is to take the logistics off your plate so you can be fully in the room. Teams from companies including Coinbase, Voltage Park and Grow Therapy have trusted us with their offsites.

What an executive retreat costs

For multi-day trips, the full programs we've planned have landed between $1,450 and $2,402 per person before flights. Smaller executive groups sometimes see a slightly higher per-person figure. Fixed costs like a private room or a dedicated guide are split across fewer people, and leadership teams often choose a nicer hotel. Our corporate retreat cost guide covers every driver, and our pricing page explains how a quote is built.

Executive retreat FAQs

How many people attend a typical executive retreat?

Most executive offsites include 5 to 15 people: the CEO, the executive team and sometimes a facilitator or board members. Larger leadership groups are better planned as a leadership retreat.

How long should an executive retreat be?

Two to three nights is the most common format. That gives you an arrival dinner, one or two full working days and a closing session before flights.

Can you work with our facilitator?

Yes. We coordinate room layout, AV, materials and timing with your facilitator so the agenda runs as designed.

How much does an executive retreat cost per person?

Our destination packages start from $1,100 to $1,900 per person, excluding flights. Executive groups often choose higher hotel tiers, and your itemized proposal shows exactly how that affects the price.

How do you keep an executive offsite confidential?

We prioritize private meeting rooms, private dining and venues where your sessions won't be overheard. We share attendee details only with vendors who need them.
