When DIY makes sense

  • It's small and close. Eight people, one night, a drive-to cabin. You can handle that between meetings.
  • It's a day event. A single offsite day in your own city with a rented room and a group dinner rarely needs a planner.
  • You have an events person. If someone on staff has run group travel before and has the time, use them.
  • You enjoy it. Some people love this work. If that's you and the stakes are modest, go for it.

When a planner pays for itself

  • Group travel is involved. Once people fly in, you're managing arrivals, room blocks and transfers, and the work multiplies.
  • The group is 20 or more. Hotels start attaching attrition clauses, minimum food and beverage spend and deposit schedules. Mistakes get expensive.
  • It's international. Time zones, local vendors, currencies and entry rules add risk.
  • The organizer also needs to participate. If you're presenting, facilitating or simply part of the team, running logistics at the same time means you miss the offsite.
  • Finance wants one number. An itemized per-person price is much easier to approve than a spreadsheet that keeps changing.

The hidden costs of DIY

The biggest DIY cost is rarely the hotel rate. It's everything that never makes it onto a budget line: dozens of hours of a senior person's time; attrition charges for rooms booked and not used; the last-minute dinner reservation for 30 that only an expensive place could take; the transfer nobody booked for the late flight. None of these are disasters on their own. Together, they're why many organizers say "never again" after their first big offsite.

A DIY checklist, if you go it alone

  1. Write a one-paragraph goal for the offsite and get leadership to agree to it.
  2. Lock headcount and a date window before contacting hotels.
  3. Request at least three hotel proposals with meeting space, and compare total cost, not room rate.
  4. Read the attrition, deposit and cancellation terms line by line.
  5. Build a run-of-show with owners and backup plans.
  6. Collect dietary needs, accessibility needs and flight details in one form.
  7. Name one point of contact for problems on site, and make sure it isn't you if you're presenting.
