Offsite Cost Index: what a 3-day company offsite costs per person in 42 destinations

What does a company offsite really cost per person? We modeled a 3-day, 2-night offsite for a team of 20 in 42 destinations, using public US government lodging and meal rates plus stated allowances for meeting space, activities and ground transport. Every number is a modeled estimate, with the method and sources below.

Short answer (modeled estimate): for the middle half of the 30 US destinations, a typical 3-day, 2-night offsite models at $1,090–$1,280 per person (US median $1,180), flights excluded.

Lowest in the set: Asheville, NC at $960. Highest: Paris, France at $1,970. Abroad, Prague, Czechia models lowest ($1,290) and Paris, France highest ($1,970).

Method: how each number is built

Each destination gets three modeled scenarios for one person on a 3-day, 2-night offsite with a group of 20. The total is the sum of four components. We use US government per diem rates because they are public, updated every year, set city by city, and in the US they change by season.

1. Lodging (2 nights)

  • US: the GSA FY2027 maximum lodging rate for the destination’s per diem area (Oct 1, 2026 to Sep 30, 2027). GSA rates exclude lodging taxes, so we add a flat 15% for taxes and fees.
  • International: the State Department maximum lodging rate for the city, used as published with no separate tax uplift.
  • low = 2 × lowest seasonal rate × tax · typical = 2 × average of the 12 monthly rates × tax · high = 2 × peak seasonal rate × tax × 1.5. The 1.5× high-case factor is our assumption for an upscale or resort hotel, or a busy week, above the government ceiling.

2. Meals (3 days)

  • The daily meals and incidentals rate (M&IE) from the same GSA or State Department table, for all 3 days, since offsites usually host every meal.
  • low = 3 × M&IE · typical = 3 × M&IE × 1.3 · high = 3 × M&IE × 1.75. The uplifts are our assumption: hosted group meals carry service charges and tax that an individual traveler’s allowance does not, and the high case adds premium dinners and a hosted bar.

3. Meeting space and activities (flat allowance)

  • $150 / $250 / $400 per person in every destination. It covers a meeting room with basic AV and coffee breaks for two working days plus one group activity, shared across 20 people. We hold it flat because there is no consistent public price source for meeting rooms by city, and a flat line keeps destinations comparable. This is a modeling assumption, not booking data.

4. Ground transport (flat allowance)

  • $60 / $100 / $175 per person: shared airport transfers both ways plus one evening group shuttle. It is held flat for the same reason. Drive-to retreats and walkable city hotels can come in under it, and remote resorts can run over.

Not included

  • Flights. Airfare depends on where each person starts, so we leave it out. Add your own average round-trip fare per person.
  • Planning fees, swag, gratuities beyond the meal uplift, extra nights and currency swings.

Season sensitivity

US lodging ceilings change by season, and the last column shows the months when each GSA rate is highest and lowest. The swing is widest in Aspen, Park City, Jackson Hole and Scottsdale, where the peak ceiling is 1.9 to 2.4 times the lowest, so dates matter most there. The State Department publishes one year-round rate for every international city in this index, so local peak weeks such as trade fairs, holidays and high season are not captured. Expect those weeks to land near or above the high case.

Limitations

  • Federal per diems are ceilings for government travelers, not market rates for group blocks. Real hotel quotes can sit above or below them.
  • GSA and the State Department set rates in different ways. Meal rates abroad are higher than in the US, so compare US to US and abroad to abroad with care.
  • Some State Department rates have older effective dates (Buenos Aires 2023; Los Cabos and Cancún 2024; London 2025). We use them as published and list the date in the CSV.
  • Hawaii and Puerto Rico are left out because their rates come from the Defense Department’s non-foreign tables, which we could not retrieve reliably.

How to use this data

  • Budgeting: start from the typical total, add your average airfare, then check the season column against your dates.
  • Shortlisting: sort by typical total to find destinations that fit a per-person cap, then open each destination guide for venues and a sample plan.
  • Building a line-by-line budget: plug your own numbers into the offsite cost calculator, or read what a corporate retreat costs.
  • Getting a real number: the index is a model. For an itemized price on your dates, request a proposal.

Offsite cost FAQs

How much does a 3-day company offsite cost per person?

In this modeled index, the typical estimate for a 3-day, 2-night offsite for 20 people is $1,090 to $1,280 per person for the middle half of the 30 US destinations, with a US median of $1,180. That covers lodging, meals, meeting space and activities, and ground transport. Flights are excluded.

Which offsite destination is cheapest and which is most expensive?

Of the 42 destinations modeled, Asheville, NC has the lowest typical estimate ($960 per person) and Paris, France has the highest ($1,970 per person). In the US, Asheville, NC is lowest ($960) and Key West, FL is highest ($1,450).

Are these Offsiteio prices?

No. Every figure is a modeled estimate built from public US government per diem rates and stated assumptions. It is not Offsiteio booking or proposal data. Offsiteio offsites start from about $999 per person, depending on the destination, and a real itemized proposal arrives in days.

Why are flights not included?

Airfare depends on where each person flies from, so one number per destination would mislead a distributed team. Add your own average round-trip fare per person on top of the estimate.
