How the offsite budget calculator works

The calculator builds your budget the same way an itemized offsite proposal is built: one line for each part of the trip, priced per person, then multiplied by headcount. Each line shows a low and a high figure, because the same city can cost very different amounts depending on dates, hotel and how much is hosted.

  • Lodging scales with nights and comfort level. It's almost always the biggest line.
  • Meals and drinks assume breakfasts, working lunches, group dinners and one hosted bar.
  • Meeting space and AV include a fixed room cost shared across the group, plus per-person AV and coffee breaks. That's why small groups pay a little more per head.
  • Activities are priced per group activity, from a cooking class to a boat day.
  • Ground transport covers airport transfers and rides to off-site dinners and activities.
  • Planning and on-site coordination covers sourcing, contracts, the run-of-show and a planner on the ground.
  • Flights are optional. Enter an average round-trip fare per person, or leave them out and budget them separately.
  • Contingency adds 10% for headcount changes, extras and price moves.

Every figure is an estimate, not a quote. The ranges are calibrated to our published numbers: Offsiteio destination packages start between $1,100 and $1,900 per person for a 3-day trip, and the full trips we've planned and quoted have run $1,450 to $2,402 per person, excluding flights. Using the CSV as an event budget template

The download button exports your estimate as a spreadsheet-ready CSV. It opens in Excel, Google Sheets or Numbers, and it's laid out as a working budget template:

  1. Your assumptions at the top: team size, nights, destination type, comfort level, meeting days, activities and airfare.
  2. One row per line item with low and high figures per person and for the whole team.
  3. Empty "Quoted price" and "Actual spend" columns so you can drop in real vendor quotes and track spend against the estimate.

Finance teams usually want two things: a range they can approve early and a final number before contracts are signed. What moves an offsite budget the most

  • Dates. Peak season and big-event weeks can push hotel rates well above the range. A flexible date window is the easiest saving.
  • Nights. Each extra night adds lodging and meals for everyone. Three nights is a common length for a team offsite.
  • Comfort level. Moving from a solid 4-star hotel to a luxury property raises lodging the most, and meals and activities follow.
  • Destination. International doesn't always mean expensive. Hotels and meals in Mexico City (from $1,400 per person) or Buenos Aires (from $1,200) can cost less than in Santa Barbara (from $1,800), though longer flights can close the gap.
  • Group size. Fixed costs such as meeting rooms and coordination are shared across more people as the group grows.

Is this calculator a quote?

No. It gives planning ranges based on typical group pricing. Real prices depend on your dates, city, hotel and group size. For an exact figure, request a free itemized proposal.

What should an offsite budget template include?

At a minimum: lodging, meals and drinks, meeting space and AV, activities, ground transport, planning and coordination, flights and a contingency line. The CSV from this calculator includes all of them, plus columns for quoted and actual spend.

How much contingency should we budget?

The calculator adds 10%, a common starting point. Raise it if your headcount is still moving or your dates fall in peak season.

Are flights included in Offsiteio's per-person price?

No. Flights are quoted separately because each attendee flies from a different place. You can still add an airfare estimate in the calculator to see an all-in budget.
