Midpoint calculator: find the fairest place for your team to meet
Done-for-you team offsites with one itemized price per person and a planner on site. Free proposal in 48 hours.
This free midpoint calculator shows where a distributed team should meet in the middle. Add each home city and how many people live there, and it ranks real offsite destinations by total travel time and by the longest single trip.
Add where your people live. We rank real offsite destinations by total travel time and by the longest single trip, so nobody gets the 14-hour journey.
Real hotels, meeting space, activities and one upfront per-person price. Flights quoted separately. No commitment.
Get my free proposalTravel times are approximate, one way and door to door: a nonstop flight (0.75 h + distance ÷ 750 km/h) plus 1.5 h at airports, or a drive at about 75 km/h of straight-line distance for trips under 400 km. Real schedules and connections vary. Prices are destination starting prices per person, flights excluded.
How the offsite location finder works
- Add your team. Type each home city and the number of people based there. The list covers about 160 major cities across the US, Canada, Mexico, Latin America and Europe. If someone lives in a smaller town, pick the nearest big airport city.
- Pick how to rank. "Balanced" weighs the average trip and the longest trip equally. "Least total travel" minimizes the hours your whole team spends getting there. "Shortest longest trip" protects the person with the worst journey.
- Compare the top five. Each result shows a fairness score, total team travel, the average trip and the longest trip, with a city-by-city breakdown. For Offsiteio destinations you also see the starting price per person.
- Share the shortlist. Copy the results into Slack or an email so your leadership team can weigh in.
Travel times are approximate. The tool uses great-circle distance, assumes a nonstop flight (0.75 hours plus distance divided by 750 km/h) and adds 1.5 hours for airports. For trips under 400 km it also considers driving, and it uses whichever is quicker. Connections, airport choice and time of year will change the real numbers, so treat the ranking as a starting point.
Why the geographic midpoint is usually the wrong answer
A classic midpoint calculator draws a line between two places and gives you the spot halfway along it. For a team offsite, that spot is rarely useful. The midpoint between New York and San Francisco lands in rural Nebraska, roughly 150 miles from Omaha. There are no nonstop flights from either coast, no hotel with room for your group and not much to do after the strategy session ends.
What you actually want is the destination that minimizes travel for real people on real routes. That's why the tool still shows the midpoint for reference but ranks actual cities with big airports, good hotels and things to do. For a bicoastal team that often means a central hub like Dallas or Denver, or a destination such as Austin or Nashville, where most people can fly nonstop.
Total travel vs. the worst traveler
There are two ways to define "fair", and they don't always agree.
- Total travel adds up every person's trip. It favors the city where most of your team already lives. If 30 of your 40 people are in New York, New York will usually win on total hours.
- The worst traveler looks only at the longest single journey. It favors central locations, even if more people have to travel.
The fairness score combines both views. It divides the average trip by the longest trip and scales it from 0 to 100. A score near 100 means everyone travels about the same amount. A low score means a few people carry most of the burden, which is worth knowing before you announce the location.
Good meeting points for common team shapes
| Where your team lives | Destinations to test | From, per person |
|---|---|---|
| East and West Coast US | Austin, Nashville, Las Vegas | $1,200–$1,450 |
| US plus Latin America | Miami, Mexico City, Panama City | $1,300–$1,549 |
| US plus Europe | New York City, Boston, Lisbon | $1,450–$1,500 |
| Mostly Europe | Prague, Barcelona, Madrid | $1,485–$1,650 |
Prices are destination starting prices for a sample package, excluding flights. Run your own team through the tool, because one or two people in an unexpected city can change the answer.
What to weigh beyond travel time
- Time zones. A destination in the middle of your team's time zones makes the first morning easier for everyone.
- Passports and visas. Check that every attendee can enter the country before you commit. Puerto Rico gives US teams a Caribbean trip without a passport.
- Season and events. Big conferences and holidays push hotel rates up. A flexible date window helps.
- Budget. Flights are only part of the cost. Our corporate retreat cost guide covers lodging, meals and activities, and our pricing page explains how a per-person price is built.
- Drive-to options. If most of the team lives in one region, a retreat they can drive to may beat any flight. Browse retreats near major cities or our corporate retreat locations by region.

From shortlist to a real plan

It covers hotels, meeting space, meals, activities and ground transport at one upfront per-person price, with flights quoted separately. There's no commitment, and our team runs the trip on the ground so the person who planned it gets to take part.
FAQs
How does a midpoint calculator find the middle between several cities?
It converts each city's latitude and longitude into a point on a sphere, averages those points (weighted by how many people live in each city) and converts the result back to a location. That gives the geographic center of your team. This tool goes further and ranks real destinations by approximate travel time.
Is the geographic midpoint the best place to hold an offsite?
Usually not. The midpoint often falls somewhere with no direct flights or suitable hotels. A destination with a major airport near the middle of your team will usually mean shorter real trips for most people.
How accurate are the travel times?
They are estimates. The tool assumes nonstop flights, adds 1.5 hours for airports and uses a simple driving speed for short trips. Real schedules, connections and airport choice will change the numbers, so use the ranking to build a shortlist, then check actual flights.
What is a good fairness score?
A score above about 80 means trips are fairly even across the team. Below 50, a few people are traveling much further than everyone else. That can still be the right choice, but it's worth acknowledging, and perhaps paying for better flights for the people with the longest journey.
Can Offsiteio plan the offsite once we pick a location?
Yes. Share your shortlist and headcount, and we'll send a free itemized proposal within 48 hours, with one upfront price per person and flights quoted separately.
