Keep flights on their own rows. Airfare depends on where each person starts, and mixing it into the trip price makes destinations impossible to compare.
Line items and illustrative per-person ranges
Illustrative ranges, not quotes. These are rough per-person figures for a 3-night offsite of 20 to 60 people at a 4-star hotel, which is the tier most teams who ask us for proposals choose. Your city, season and group size will move them.

Worked example: building the lodging line (illustrative)
Illustrative only. Lodging is the biggest line, so it's worth building it bottom-up rather than guessing. Here's the arithmetic for 30 people, 3 nights, private rooms:
- Rooms: 30 private rooms × 3 nights = 90 room-nights.
- Rate: take the group rate from the hotel proposal, say $220 per room-night for this example.
- Taxes and fees: add local occupancy taxes and any resort or destination fee per room-night. Assume $40 here, giving $260 all-in.
- Total: 90 × $260 = $23,400, or $780 per person.
- Attrition exposure: if the contract allows you to release 10% of rooms without penalty, note the date. Beyond that, each empty room still costs about $780.
Use the same method for food and drink: list every hosted meal, multiply by the per-person menu price, then add service and tax. It takes ten minutes and removes most of the guesswork.
Presenting the budget to finance
- Lead with the per-person number and the total, with flights shown separately underneath.
- Show two or three options, such as the lean, standard and premium columns above, so the conversation is about trade-offs, not a single yes or no.
- Mark each line's status. Finance trusts a budget more when it can see what's contracted versus estimated.
- Name the risks: attrition, food and beverage minimums, currency for international trips, and how the contingency covers them.
- Agree the payment calendar early. Deposits are often due soon after signing.
Budgeting flights for the group
Treat airfare as its own mini-budget. Group attendees by home airport, estimate a round-trip fare for each group, and multiply. Domestic teams flying to a central city will usually have a tighter spread than distributed teams flying to Europe from several continents. Add a line for checked bags if your policy covers them, and set a booking deadline so fares don't climb while people wait. The hidden costs that break offsite budgets
- Service charges and taxes on food and drink. These can add a meaningful percentage on top of menu prices. Always ask for the fully loaded per-person number.
- Food and beverage minimums. Hotels often discount meeting space in exchange for a minimum catering spend. Miss the minimum and you pay the difference.
- Attrition. If headcount drops below the agreed room block, you may pay for empty rooms. Track RSVPs against the attrition allowance every week.
- Resort and destination fees. Charged per room per night at many properties, and easy to miss in a headline rate.
- AV surprises. Microphones, extra screens and upgraded Wi-Fi are often priced separately.
- Gratuities. Guides, drivers and on-site staff. Decide your policy in advance.
- Late changes. Adding people, moving a dinner or changing an activity after confirmation usually costs more.
- Currency swings. For international trips, agree which currency contracts are in.
How to cut the budget without ruining the offsite
- Move the dates before you cut the program. Shoulder-season dates or a week that avoids big local events can lower lodging more than any other change.
- Cut a night, not the dinner. Each night adds a full set of lodging and meals. A tighter 2-night format can save more than trimming activities.
- Choose a hotel with its own meeting space. You avoid a second venue and the transfers between them.
- Keep one marquee activity. People remember one great moment, not four average ones.
- Consider a value destination. Riviera Maya, Los Cabos, Buenos Aires and Nashville all have starting prices well below coastal California.
- Lock headcount before signing. Accurate numbers protect you from attrition charges.

Comparing quotes: what's in, what's out
Two per-person quotes are only comparable if they cover the same things. Before you compare, line them up against this list and ask each provider to confirm every row in writing:
- Room taxes and resort or destination fees
- Service charges and taxes on every meal and the bar
- How many meals are hosted, and which are on your own
- Meeting room hire, AV and Wi-Fi for every working day
- Airport transfers on arrival and departure days, including off-schedule flights
- Activity guides, equipment, entrance fees and transport to activities
- Planning fees and on-site staff, and their hours
- Gratuities
- Flights, which should always be a separate line
A quote that looks cheaper is often just missing two or three of these rows.
Budgeting by offsite type
- Leadership offsite: fewer people, so fixed costs such as private dining and transfers are shared among fewer heads, and groups often choose a higher hotel tier. Expect a higher per-person figure but a smaller total. See executive retreat planning.
- All-hands: room-block rates and meeting-space concessions help, but transport and venue capacity become real lines.
- Remote team retreat: flights can rival the hotel line. Budget them carefully and early.
- Sales kickoff: add lines for awards, production and speakers.
