Offsite proposal template: the business case to get a company retreat approved
The internal one-page proposal that gets a team offsite or company retreat approved: why now, what it will achieve, options, an itemized budget, timeline and a clear ask.
An offsite proposal is the internal business case you send your CEO, CFO or leadership team to get a team offsite or company retreat approved. It answers four questions on one page: why now, what the offsite will achieve, what it will cost per person and in total, and what decision you need by when. Below is a free corporate retreat proposal template, with an options table, an itemized budget and a decision request.

How to use this offsite proposal template
- Write the ask in one sentence at the top: what, where, how many, when and up to what budget.
- Tie the "why now" to something leadership already cares about, such as a new strategy, growth in headcount or a distributed team.
- Limit objectives to two or three, each with a way to measure it after the offsite.
- Show two or three options, including a cheaper one. Approvers like a choice, and it shows you considered cost.
- Fill the budget from real quotes, not guesses. Use the offsite cost calculator for a first estimate, then replace it with itemized quotes.
- Show flights as a separate line. They vary most by departure city and booking date.
- End with the decision you need and the date, because venues and room blocks don't wait.
Example: a filled-in summary for a 25-person team
An illustrative proposal from a Chief of Staff at a fast-growing software company with a distributed team.
| Section | Example |
|---|---|
| Ask | Approve a 3-day offsite in Lisbon for 25 people in May, within the budget in section 3 |
| Why now | We doubled the team this year and half of us have never met in person; annual planning is due |
| Objectives | Agree three company priorities for the second half; connect new hires with their teams |
| Measure | Pre and post survey on clarity and connection; decision log with owners within a week |
| Options | A: a country house two hours away. B: Miami. C: Lisbon, recommended because most of the team is in Europe and the US East Coast |
| Decision by | End of this month, to hold dates before spring demand |
Common proposal mistakes
- Leading with the destination. Lead with the outcome. The destination is a means.
- Guessing the budget. Estimates without quotes get cut or questioned. Bring itemized quotes.
- Hiding flights. Leaving flights out makes the total look smaller until finance finds them.
- No measure of success. Without a measure, the next offsite is harder to approve.
- No deadline. Open-ended approvals drift until the good dates are gone.

FAQ
How do I write a proposal for a company retreat?
Start with a one-sentence ask, then explain why now, the two or three objectives and how you will measure them, the options you considered, an itemized budget per person and in total, a timeline and the date you need a decision.
How do I justify the cost of a team offsite?
Link it to a business need leadership already has, such as aligning on strategy, onboarding many new hires or connecting a remote team. Set measurable objectives and show you compared options, including a cheaper one.
What should a corporate retreat budget include?
Lodging, meeting space and AV, food and drink, activities, ground transfers, swag and materials, planning support, a contingency line and flights as a separate line.
How far in advance should a retreat proposal be approved?
Early enough to hold dates and rooms: for a trip with flights, aim for approval three to six months before, and earlier for peak seasons or large groups.
Who should approve a company offsite?
Usually the executive sponsor (often the CEO) for the purpose and format, and the CFO or budget owner for cost. Send one proposal to both.
