Best for: tech companies that want an agency for a European offsite and like a fixed planning fee.

3. Retreat (PlanRetreat)

Retreat offers free planning software and free venue sourcing and hotel negotiation, paid for by hotel commissions. Extra help is priced openly: $20 per person each for flight booking, activities, transport or restaurant planning, and $299 per day for an onsite concierge (planretreat.com/pricing, checked Oct 2026). Its homepage FAQ also mentions a $1,500-per-offsite fee for more comprehensive planning.

Best for: organizers who are comfortable running the event themselves and want to pay only for the help they use.

4. Nowadays

Nowadays calls itself an AI-native platform for corporate events. Its AI contacts venues by email and phone, compares proposals and helps with registration and budgets. The Basic plan is free; the Explorer plan carries a 10% service charge and a $250 refundable deposit (nowadays.ai/pricing, checked Oct 2026).

Best for: in-house teams that plan several events a year and want software to do the venue outreach.

5. RetreatsAndVenues

RetreatsAndVenues lists 50,000+ retreat venues, lets you send RFPs in bulk and compare replies, and offers a free "retreat success advisor" if you want a hand. It states its services are free, with no deposit or subscription (retreatsandvenues.com, checked Oct 2026).

Best for: planners who enjoy researching venues and want the widest possible selection.

6. Venue Retreat

Venue Retreat is a Valencia-based venue sourcing service focused mainly on Spain, Portugal, Italy and Greece, with a few Latin American options. It advertises a "100% Free Service" with zero finder's fees (venueretreat.com, checked Oct 2026).

Best for: small and mid-sized teams who want a free shortlist of Mediterranean retreat properties.

How to choose

  1. Decide who runs the trip. Software and marketplaces leave the coordination with you; agencies and planning teams take it on.
  2. Separate fees from trip costs. A per-head planning fee and an all-in trip price aren't the same kind of number.
  3. Ask whether on-site help is included or extra. Several options here price it separately.
