Corporate retreat itinerary template (company trip itinerary)
The attendee-facing itinerary for a company trip: travel and hotel details, a day-by-day schedule, what to wear and who to call, in one page people actually read.
A corporate retreat itinerary is the one document every attendee gets before a company trip: how they get there, where they stay, what happens each day, what to wear and who to call. It is different from the internal agenda and the crew's run of show. It answers attendee questions before they reach your inbox. Below is a free company trip itinerary template, a day-by-day schedule you can copy and a filled-in example for a 3-day retreat in Barcelona.

How to use this itinerary template
- Start from your confirmed bookings: hotel, transfers, venues and restaurants. Never publish an itinerary item that isn't booked.
- Translate the internal agenda into attendee language. Drop session formats and owners; keep times, places and what to bring.
- Fill the trip overview with the details people ask about most: arrival time, hotel, flights policy, transfer and the on-trip contact.
- Add meeting points and transfer times. Attendees need to know where to stand at what time, not the coach company's name.
- Send the itinerary two to three weeks out with the packing list, then a short reminder a few days before.
- Version it. Put a date in the footer and resend only when something important changes.
Example: a 3-day company retreat in Barcelona
An illustrative attendee itinerary for a 30-person team in Barcelona, one of the cities Offsiteio has planned retreats in more than once.
| Day | Morning | Afternoon | Evening |
|---|---|---|---|
| Thursday | Arrivals; airport shuttle every hour | Check-in, then 16:00 welcome session at the hotel | Tapas dinner in the Gothic Quarter, 10-minute walk |
| Friday | Breakfast, then 09:00 planning sessions | 13:45 coach from lobby to a cooking class | Free evening; restaurant list in the team chat |
| Saturday | 09:00 closing session: decisions and owners | Check-out by 12:00, shuttles to the airport from 12:30 | Optional extra night at the group rate |
The questions your itinerary should answer before anyone asks
- "When do I need to arrive?" Give the latest arrival time for the first session, not just the check-in time.
- "Who books my flight, and what can I spend?" Link the travel policy, or say the company books it and by when you need details.
- "Am I sharing a room?" Say so plainly, with the roommate's name if assigned.
- "Can I bring a partner or stay longer?" Decide the policy in advance and state it, including who pays for extra nights.
- "What if my flight is delayed?" Give the on-trip contact and what happens with transfers.
Common itinerary mistakes
- Sending the internal agenda. Attendees don't need facilitator notes; they need times, places and what to bring.
- Burying the arrival details. Flight policy, hotel and arrival time belong at the top.
- No meeting points. "Transfer to activity" isn't actionable. "Lobby, 13:45" is.
- Publishing unconfirmed items. Changing a published itinerary costs trust. Wait until it's booked.
- Too many versions. Date each version and resend only for important changes.

FAQ
What should a corporate retreat itinerary include?
Trip dates and purpose, arrival and departure times, flight policy, airport transfers, hotel details and room arrangement, a day-by-day schedule with meeting points, dress code, what to bring and a 24/7 on-trip contact.
What is the difference between an itinerary and an agenda?
The agenda describes the sessions and their goals, mainly for leaders and facilitators. The itinerary is for every attendee and covers the whole trip, including travel, hotel, meals, activities and logistics.
When should I send the retreat itinerary?
Send a full version two to three weeks before the trip, once bookings are confirmed, then a short reminder with the key times a few days before departure.
Should the itinerary include free time?
Yes. Mark free time clearly so people can plan calls or rest, and suggest one or two easy options nearby for those who want them.
Can I use this as a company trip itinerary template in Google Docs?
Yes. Copy the Markdown into a Google Doc or Notion page, or download the CSV and paste the schedule into a sheet. Keep one master version and share a view-only link.
