Business group travel: how to move a team without chaos

Business group travel works best when one person owns the plan: set a short travel policy, define an arrival and departure window, decide who books flights versus who books everything on the ground, and coordinate transfers around the actual flight list. Most of the stress in moving 20 or 200 colleagues comes from unclear ownership, not from the travel itself.
This guide is for the Chief of Staff, EA or People lead who has just been told "we're all going to be in the same place in March." It covers flights, policies, arrival windows, ground transport and a simple split of responsibilities.
Start with the shape of the trip
Before anyone books anything, answer four questions and share them in writing:
- Where and when. The destination, the first session start time and the last session end time.
- Who is traveling. A list with home cities, so you can see where flights originate and spot anyone needing a passport or a long connection.
- What the company pays for. Cabin class, bags, airport parking, rideshare, meals in transit.
- Who books what. Each traveler, a travel desk, or a single coordinator.
Getting these on one page early prevents the most common problems: people landing after the welcome dinner, someone booking a refundable fare at three times the price, or a leader arriving at a different airport than the shuttle.
Booking flights for a team
There are three common approaches, and the right one depends on group size and how spread out the team is.
Travelers book their own
Each person books within the policy and submits an expense. This is the simplest option for distributed teams flying from many cities. The trade-off is less visibility; you'll need a form where each person enters flight numbers and times.
A central coordinator or travel desk books
One person or the company's travel management provider books every ticket. You get consistent fares, one record of who is on which flight, and easier changes. It takes more admin time and requires collecting legal names and dates of birth exactly as they appear on IDs.
Group air fares
When ten or more people are flying the same route on the same dates, many airlines offer group bookings through a dedicated desk. Group contracts can allow name changes closer to departure and a deposit before full payment. They make most sense when a large part of the team departs from one hub.

Write a one-page travel policy for the trip
A trip-specific policy saves a dozen Slack threads. Keep it short and cover:
- Cabin class and whether paid seat selection or bags are covered.
- A booking deadline, so fares don't climb while people wait.
- Arrival and departure windows (see below).
- Whether extending the trip for personal days is allowed, and who pays the extra nights.
- Ground transport rules: shared shuttle versus rideshare reimbursement.
- ID requirements: a REAL ID-compliant license or passport for US domestic flights, and a valid passport for international trips.
- Who to call if a flight is canceled or delayed.
Arrival and departure windows
An arrival window is the span during which everyone should land. A typical window opens in the late morning and closes in the mid-afternoon on arrival day, which leaves time for check-in before a welcome event in the evening. A departure window does the same at the end, with the last session finishing early enough that people can catch afternoon flights home.
Windows let you schedule shuttles in a few waves instead of running dozens of individual pickups. They also protect the agenda: if nobody lands after 4 p.m., you can start the welcome dinner on time. For colleagues coming from far away or across time zones, allow arrival the day before.

Ground transport
Once people land, the trip is either seamless or scattered. Options, roughly in order of group size:
- Rideshare or taxi, reimbursed. Fine for very small groups or city hotels close to the airport.
- Private vans or SUVs. Good for leadership teams and small groups arriving at different times.
- Scheduled shuttle waves. Vans or minibuses that leave the airport at set times during the arrival window.
- Motorcoach. The best choice when most of the group arrives together, and for off-site dinners and activities during the trip.
Build the transfer schedule from the actual flight list, not from guesses, and keep a buffer for delays. A greeter at arrivals with a sign is worth it for international trips and for any destination where the pickup point is confusing.

Collecting traveler details
Use one form for everything: legal name, mobile number, home city, flight numbers, dietary needs, accessibility needs and room-sharing preferences. Ask for it once, early, and send a reminder a week before the booking deadline. Treat this information as sensitive and share it only with the people and vendors who need it.
