Offsite venue RFP template (event and hotel request for proposal)
A venue request for proposal written for team offsites: the brief venues need, the room block and meeting space specs, the questions to ask and a grid to compare replies.
A venue RFP (request for proposal) is the brief you send hotels and venues so they can quote your offsite on the same terms: dates, headcount, sleeping rooms per night, meeting space, food and drink, AV and the contract terms you need. A clear RFP gets you comparable, itemized quotes in days instead of a week of back-and-forth. Below is a free event and hotel RFP template written for team offsites and company retreats, plus a grid to compare responses.

How to use this venue RFP template
- Lock the brief first: dates (with alternatives), headcount range, type of offsite and the outcome. Venues quote better when they know what the event is for.
- Build the room block night by night. Most quoting errors come from a block that doesn't match the real arrival pattern.
- Describe the meeting space by function and setup, not by room name. Let the venue propose rooms.
- Ask for an itemized quote in your format so responses drop straight into the comparison grid.
- Send the RFP to three to six venues that already fit on location and size.
- Answer venue questions to all bidders at once, so everyone quotes the same brief.
- Score replies in the venue comparison template and negotiate with your top two.
Example: an RFP brief for a 25-person retreat in Mexico City
An illustrative brief for a 25-person company retreat in Mexico City, a destination Offsiteio has planned offsites in.
| Field | Example |
|---|---|
| Event type | 3-day company retreat: one planning day, one culture day, one half day |
| Dates | Tuesday to Friday in late April; alternative the following week |
| Room block | Night 1: 4 rooms (organizers). Nights 2 and 3: 25 single-occupancy rooms |
| Main room | 25 people in rounds, daylight, screen and two mics, all day Wednesday |
| Food | Breakfast daily, working lunch Wednesday, private group dinner Wednesday night |
| Extras | Airport transfers on arrival day; options for a private food tour Thursday |
Common venue RFP mistakes
- A single headcount instead of a range. Give a likely number and a minimum, so the venue can set fair attrition.
- No night-by-night room block. "25 rooms for 3 nights" hides early arrivals and extensions.
- Asking for "your best price". Ask for an itemized quote in your format, or you can't compare.
- Skipping the contract questions. Attrition, cut-off and cancellation terms matter as much as the rate.
- Sending to too many venues. A long list means a long inbox and slow decisions. Pre-filter on location and size.

FAQ
What should an event venue RFP include?
The organization and event type, dates with alternatives, headcount range, a night-by-night sleeping room block, meeting space and setups by day, food and drink, AV, the questions every venue must answer, the response deadline and a single point of contact.
What is the difference between a hotel RFP and a venue RFP?
A hotel RFP focuses on the sleeping room block and rates. A venue RFP covers meeting space, food and AV. For an offsite at a hotel you need both in one document, which is what this template does.
How many venues should receive an RFP?
Three to six venues that already fit on location, size and style. More than that slows you down without improving the shortlist.
How long do venues take to respond to an RFP?
It varies by venue and season. Set a clear response deadline in the RFP and follow up the day before it. Venues that answer late or vaguely at RFP stage are telling you something about service.
What is attrition in a venue contract?
Attrition is how far below your contracted room block or food and drink minimum you can fall before paying a penalty. Negotiate the allowance and the review dates before you sign, especially if your headcount is uncertain.
