Q1 2027 kickoff offsite planning: a week-by-week timeline

If it is late October or early November and your January or February kickoff is not booked, you are late but not out of time. Q1 2027 kickoff offsite planning works from early November if you do three things in order: set headcount, dates and budget per person in week one, hold venue space before Thanksgiving, and sign every major decision by the first week of December.
Start with three numbers, not a venue
Agree these three numbers in writing before you look at a single hotel.
- Headcount. Count everyone who travels, including enablement, marketing, executives and guest speakers, then add a 10 percent buffer for January starters. Venues price on rooms and seats, so a headcount that drifts from 60 to 75 in December changes the contract.
- Dates. Most kickoffs land in the second half of January or the first half of February, after year-end close and before pipeline reviews. Martin Luther King Jr. Day falls on January 18, 2027 and Presidents' Day on February 15, so avoid flying people home on those Mondays.
- Budget per person. Done-for-you kickoff trips start from about $999 per person, excluding flights, and the budget ranges on our homepage run from under $1,000 to $3,500 and above per person depending on destination and nights. Multiply by headcount, add flights at your average fare, and hold 10 percent for AV and late additions. Our corporate retreat cost guide explains what moves the number.
Q1 2027 kickoff offsite planning, week by week
This assumes a late-January or early-February date and a team of 30 to 150 people.
- Week of November 2. Agree the three numbers with your CRO or CEO. Write the kickoff goals in one sentence each: what reps should know, be able to do and believe when they leave. Sketch a four-block agenda skeleton.
- Week of November 9. Shortlist three destinations using the flight, weather and entry logic below. Request itemized proposals for each so you compare like with like.
- Week of November 16. Pick the venue and place a hold on the dates. Share the agenda skeleton with session owners and give them a December deadline.
- Week of November 23. Thanksgiving week is short, so use it to sign the contract, announce the dates internally and publish a one-page travel policy: who books flights, fare class, arrival window.
- Week of November 30. Lock the decision list below. Open flight booking. Confirm awards categories so managers can start nominating.
- December 7 to 18. Build content: general session deck, breakout materials, role-play scenarios. Collect dietary, rooming and accessibility needs and draft a run of show with every session timed. Freeze changes on December 18.
- January 4 to 8. Reconfirm every vendor, speaker and transfer. Send the final rooming list, rehearse the general session with the AV team, and brief the managers who will run breakouts.
- Kickoff week. Make day one an arrival afternoon with a reception, not a 9 am general session.
Destination shortlist logic: flights, weather and entry rules
Three destinations are enough. Score each against the same three questions.
Flights
List your top three origin cities by headcount and check for nonstops from each. Count door-to-door hours, not fare alone; a cheap ticket with a connection and a 6 am departure costs you half of day one. Browse our destinations by region, each with a starting price per person.
Weather
January in the northern United States and much of Europe carries a real chance of weather delays. Either choose a warm-weather destination such as Florida, Texas, Mexico or the Caribbean, or accept the risk and keep anything critical off the arrival day.
Entry rules and passports
Check entry requirements for every passport on the team, not only US ones, and ask people to check expiry dates in November. For Europe, two changes matter. The EU's Entry/Exit System became fully operational on 10 April 2026 and replaces passport stamps with a registration of fingerprints and facial images for non-EU visitors, according to the European Commission, so allow extra time at first entry.
The ETIAS travel authorisation for visa-free visitors, with a planned fee of EUR 20, had not started as of the Commission's most recent page update, which says the EU will announce the start date several months in advance. Check the official ETIAS page before you sign a European venue contract.
Agenda design for a kickoff: goals, plan, team time, celebration
A kickoff agenda has four jobs: set the goals, teach the plan, give the team unstructured time together, and celebrate last year.
- Goals. Arrival reception on day one, then a general session the next morning: last year's results, this year's targets, territory and comp changes, the product story. Keep it under 90 minutes.
- Plan. Breakouts by segment or region, messaging workshops, and role-play rounds led by frontline managers.
- Team time. Long meals, one real activity, and open blocks with nothing scheduled. This is the part planners cut first and regret most.
- Celebration. An awards dinner on the second evening. If you are pairing the kickoff with a reward for last year's winners, our incentive trips page explains how the two fit together.

Why the team-time block matters more in 2027
Most of your reps now work alongside AI tools and bots. Glean's Work AI Index 2026, a survey of 6,000 digital workers in the US, UK and Australia, found that 87 percent use AI at work, 52 percent find it easier to collaborate with AI than with human coworkers, and respondents had sent a bot or digital twin to one in six meetings (17 percent) instead of attending. Owl Labs' State of Hybrid Work 2025 found that 51 percent of US workers would be interested in an AI avatar sitting in a meeting for them.
None of this is an argument against AI. Gensler's Global Workplace Survey 2026 found that AI power users spend less time collaborating in person yet report stronger team relationships. The point is narrower: when routine communication is automated, the few days a year the whole team shares a room carry more of the trust and judgment that used to build up in hallways. Protect the team-time block the way you protect the general session.
Decisions to lock by the first week of December
If these are not approved by Friday, December 4, the holidays will eat your slack.
- Dates, nights and the signed venue contract, with the cancellation terms read by finance.
- Final planning headcount and the rule for late additions.
- Budget per person, flight budget, and who owns the contingency.
- Agenda skeleton with a named owner for every session and a December 18 content deadline.
- Awards categories, criteria and who decides.
- Travel policy and the day-one arrival window.
- Who runs the room on-site and who is on call for travel problems.
Our offsite planning checklist covers the full list.
The mistakes that cost kickoff planners the most
- Booking before the agenda. A venue chosen from photos often lacks the breakout rooms the agenda needs. Sketch the four blocks first, then shortlist venues that fit them.
- Over-programming. Eight hours of sessions a day produces tired reps and a forgotten plan. Cap formal content at five or six hours and leave real gaps.
- No travel buffer. A 9 am general session on arrival day fails the moment one flight is late. Put nothing critical before the second morning.

FAQ
Is early November too late to plan a January kickoff?
It is later than ideal but workable for most teams under 150 people if you set headcount, dates and budget in the first week and hold venue space before Thanksgiving. Larger groups should consider early or mid-February, or widen the shortlist.
How much should we budget per person for a kickoff offsite?
Trips start from about $999 per person, excluding flights, and the homepage ranges run from under $1,000 to $3,500 and above per person depending on destination, nights and production needs. Add flights and a 10 percent contingency.
Should we combine the kickoff with an incentive trip?
Combining saves a round of flights and lifts the energy in the room, since last year's winners stay on for an extra night or two. Keeping them separate makes the reward feel more exclusive.
What if we cannot get our first-choice dates?
Shift by a week before you shift destination. The second week of February is often easier to book than the last week of January and still lands before most pipeline reviews.
