Offsite Planning Checklist

Organizing an offsite for a large group of people can be a daunting task. There’s so much to consider and plan for–food, location, transport, and activities. It can all become overwhelming! But that’s why we’ve put together this offsite planning checklist to help make the process easier.

1. Set your budget. Make sure you know exactly how much money you have to work with for the offsite. This will help make all of your decisions easier, from selecting a location to choosing activities or meals.

2. Decide on a date and time frame. Pick a date that works best for everyone involved and plan out the offsite over a few days if needed.

3. Choose a venue or offsite location. Consider factors such as materials, amenities, and price when deciding on the ideal offsite spot for your offsite event.

4. Book necessary transportation and accommodations. If you’re hosting an offsite that requires travel, make sure to book flights or car rentals in advance. In addition, reserve any hotel rooms that may be needed for offsite attendees.

5. Invest in offsite activities and entertainment. Spice up your offsite event by planning some offsite-specific activities such as team-building exercises or fun recreational activities like kayaking or a scavenger hunt.

6. Prepare offsite materials. If you’re offsite includes presentations or workshops, make sure to provide offsite attendees with any necessary handouts and materials in advance of the offsite.

7. Consider offsite catering options. Depending on your budget, there are lots of offsite catering choices that can make your offsite event memorable – from meal boxes and coffee trucks to a buffet-style brunch.

8. Bring offsite supplies. Don’t forget the offsite essentials – flipcharts, pads of paper, markers, tape, etc. You don’t want offsite attendees scrambling for sticky notes during a workshop!

9. Take care when organizing offsite transport. If offsite attendees need to be picked up or dropped off at the offsite location, make sure there’s reliable offsite transport available.

10. Prepare offsite wrap-up materials. Make sure all offsite attendees have a copy of any notes taken during the offsite event as well as contact information for follow-up purposes.
